Workflow RH : A Pivotal Tool in Management of Human Resources

Embark on a visual transformation journey to revolutionize the Human Resources movement process.

In 2019, BRQ Digital Solutions was approached by Porto Seguro to improve their Human Resources movement process and tool, with the goal of enhancing the experience and efficiency of the process for all professionals involved. As part of this effort, technicians mapped and analyzed the experience of each stage of the process in the movement of employees in their daily lives. They proposed innovations aimed at improving usability, eliminating gaps, solving problematic points, and bringing operational efficiency to process flows.

We started by inputting routine information into our processes and then proceeded to build their current processes. During this stage, we carried out validation dynamics with everyone involved, scoring actions, actors, systemic integrations, goals, and tasks. After we had constructed the material, we took it back to our office and made it tangible in a visual way. We carefully considered everything we had collected during the interviews.We have attempted to simplify the processes by grouping as many similar steps together as possible. This will result in fewer process flows that we can go through in 3 journeys. After synthesizing the flows, we have identified several opportunities for improvement. These will be worked on during the workshop with 3 experts from Porto Seguro's process team. We came up with several ideas to optimize our processes and integrate different systems within the company using technology. As a result, we created a journey map that contains all the necessary steps for a smooth and happy flow of the Porto Seguro process. The material is illustrated and will help us streamline our internal processes.

The dashboard is designed to be very user-friendly and provide clear feedback to all technicians about their tasks and status in the process chain. The tool includes a seamless integration with external tools and follows a clear visual line that avoids visual overload for users. The flow is designed to be frictionless and provide a clear visualization of the steps and users involved in the process. After creating the prototypes, we conducted field tests to assess the flow and functionality of the process. The goal of these tests was to determine how the technicians would perform and receive feedback. Based on the feedback collected during the tests, we refined the prototypes and made adjustments to prepare for the final delivery of the project.
